Privacy Policy

This Privacy Policy explains how iFixAndFlip collects, uses, protects, retains, and discloses personal information when you use our website, request a quote, contact us, apply for dealer services, send a device for repair, or otherwise interact with our repair services.

We collect only what we reasonably need. For quotes, repairs, communication, payment, shipping, and service administration.
Repair passcodes are optional. If provided, they are used only as reasonably necessary for repair-related testing.
You can contact us about your information. You may ask about access, correction, privacy concerns, or withdrawal of consent where applicable.

1. Who We Are

iFixAndFlip is an independent electronics repair business based in Kitchener–Waterloo, Ontario. We provide local appointment-based repair services and selected mail-in repair services across Canada.

For the purposes of this Privacy Policy, “iFixAndFlip,” “we,” “us,” and “our” refer to the business responsible for the personal information described in this Policy.

2. Information We Collect

The information we collect depends on how you interact with us. We may collect information such as:

  • Name and contact information, including email address and phone number.
  • Preferred contact method.
  • City, postal code, mailing or shipping information where required.
  • Business name and business contact information for dealer applications.
  • Device type, brand, model, serial number, IMEI, or other device identifiers where reasonably needed for repair administration.
  • Description of the fault, damage, repair history, symptoms, or requested service.
  • Photos, videos, screenshots, business cards, storefront photos, or other files that you choose to upload or provide.
  • Repair estimates, approvals, invoices, payment status, shipping information, and service history.
  • Communications with us about a quote, repair, dealer application, mail-in request, warranty question, or other service matter.
  • An optional device passcode or PIN when reasonably necessary for approved functional testing.
  • Technical website information such as browser type, device type, pages visited, referring source, approximate location derived from network information, and similar usage data when analytics technologies are enabled.
We do not require Apple ID, Google account, email, banking, social-media, or other unrelated account passwords for routine repair testing.

3. How We Use Personal Information

We may use personal information to:

  • Review and respond to repair quote requests.
  • Communicate about device condition, diagnosis, parts, estimates, approvals, repair progress, pickup, payment, shipping, warranty, or follow-up questions.
  • Assess whether a device or repair request is suitable for local, mail-in, dealer, glass-only, or advanced repair service.
  • Perform and document authorized repair-related testing.
  • Prepare estimates, invoices, service records, and warranty records.
  • Arrange shipping and return shipping for approved mail-in repairs.
  • Review and verify dealer-service applications.
  • Process or confirm payments through available payment methods or service providers.
  • Protect our website, business, customers, devices, and systems against misuse, fraud, security threats, or unlawful activity.
  • Meet accounting, tax, legal, regulatory, dispute-resolution, or record-keeping obligations.
  • Improve our website and services using aggregated or analytics information where those tools are enabled.

We do not intentionally use personal information for a materially different purpose without obtaining additional consent where required.

4. Device Passcodes, Functional Testing & Customer Data

Providing a passcode is optional

Some repairs require access beyond the lock screen to test functions such as cameras, cellular service, Wi-Fi, Bluetooth, microphones, speakers, sensors, charging behaviour, or other features. A customer may choose not to provide a device passcode.

If a passcode is not available, functions that cannot reasonably be tested may be recorded as “Not Tested – Passcode Unavailable” or similar. In that situation, iFixAndFlip may be unable to confirm the pre-repair or post-repair condition of those functions.

If a passcode is provided

We use it only as reasonably necessary for the authorized repair, diagnosis, or functional testing. We do not intentionally browse, copy, transfer, disclose, or use unrelated customer content.

Access to customer data may be broader only where the customer has specifically authorized a service that requires it, such as selected data-recovery work.

Passcodes should not be retained longer than reasonably necessary for the repair or related testing and should be removed from active service records once they are no longer needed.

Backups and unstable devices

Customers should back up important information before repair whenever reasonably possible. Devices submitted for repair may already contain unstable, damaged, corrupted, failing, or intermittently functioning hardware or software.

A device that powers on intermittently, restarts, boot loops, freezes, contains liquid damage, has board-level damage, or otherwise operates unpredictably may become inaccessible during diagnosis or repair even where reasonable care is used.

Reset, restore, or data-erasing procedures

When a proposed repair step is expected to require a factory reset, restore, reinstallation, or other operation that is reasonably expected to erase customer data, we will seek additional authorization before intentionally proceeding with that data-erasing step.

Customers should never send unrelated account passwords, banking credentials, social-media passwords, or other credentials that are not required for the approved repair service.

5. Photos, Uploaded Files & Repair Documentation

Customers may provide photos or other files to help us assess physical damage, identify a device, prepare an estimate, review a dealer application, or document a repair-related issue.

Please avoid including unrelated personal information in uploaded images or files. For example, where possible, do not include private messages, account information, financial information, personal documents, or other unrelated content in a device photo.

Repair-related photos or documentation may be retained for as long as reasonably necessary for the quote, repair, warranty, dispute, fraud-prevention, or legal purpose for which they were collected, and then deleted, anonymized, or securely disposed of when no longer reasonably required.

iFixAndFlip does not currently operate a routine customer intake/final-test video recording program. If a future recording system is introduced, this Policy and any required consent notices will be updated before that practice is implemented.

6. Website Analytics, Cookies & Similar Technologies

Our website may use cookies or similar technologies that are necessary for website operation, security, forms, preferences, and related functionality.

We may also enable analytics tools, such as Google Analytics or Microsoft Clarity, to understand website traffic, device types, referral sources, page engagement, clicks, scrolling behaviour, and similar website-use information.

Where analytics technologies are enabled, we will configure them with privacy in mind and will not intentionally send customer names, email addresses, phone numbers, repair descriptions, device passcodes, uploaded repair photos, IMEI numbers, or similar direct customer information to analytics tools.

Where consent is required for non-essential analytics or similar technologies, visitors will be given an appropriate choice through the website’s consent controls.

Analytics tools may process technical information outside Canada depending on the provider’s systems and infrastructure. Information processed in another country may be subject to that country’s laws.

7. Service Providers & Disclosure

We may use third-party service providers where reasonably necessary to operate the business or provide a requested service. Depending on the transaction, these may include:

  • Website hosting and website-form providers.
  • Email and communications providers.
  • Payment processors or financial institutions.
  • Shipping carriers and shipping-management services.
  • Cloud, security, backup, or business-software providers.
  • Analytics providers where analytics tools are enabled.
  • Professional advisers such as accountants, insurers, or legal advisers where reasonably necessary.

We provide service providers only with information reasonably necessary for the relevant service and expect personal information under our control to be handled with appropriate safeguards.

We may also disclose information where required or permitted by applicable law, including in response to lawful legal process, to protect rights or safety, to investigate fraud or misuse, or to establish, exercise, or defend legal claims.

We do not sell customer personal information to advertisers.

8. Service Communications & Marketing

Repair-status messages, estimate approvals, shipping updates, payment notices, warranty communications, and requests for information needed to complete a repair are service-related communications.

We do not treat a repair request, quote request, contact-form submission, or device drop-off as automatic permission to add a customer to a promotional marketing list.

If iFixAndFlip introduces promotional email or SMS marketing, we will seek consent where required and provide an appropriate way to unsubscribe from promotional communications.

9. Retention & Secure Disposal

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, for related warranty or dispute handling, and for applicable legal, tax, accounting, or record-keeping obligations.

Different types of information may have different retention periods. Sensitive information that is no longer reasonably required, such as an optional repair passcode, should be deleted or removed from active records sooner than ordinary invoice or transaction records.

When personal information is no longer reasonably required, we take reasonable steps to delete, destroy, anonymize, or otherwise securely dispose of it according to the form in which it is held.

10. Safeguards

We use administrative, physical, and technical safeguards that are intended to be appropriate to the sensitivity of the information and the nature of our business.

These safeguards may include measures such as:

  • Limiting access to customer information to persons who reasonably need it for the service.
  • Password-protected accounts and systems.
  • Reasonable device, website, account, and network-security practices.
  • Secure handling of repair devices and business records.
  • Avoiding unnecessary collection or retention of sensitive information.
  • Secure deletion or disposal practices when information is no longer required.

No physical or electronic system can be guaranteed to be completely secure. If we become aware of a privacy or security incident, we will assess and respond to it in accordance with applicable law.

11. Access, Correction & Privacy Requests

Subject to applicable legal exceptions, you may ask whether we hold personal information about you, request access to that information, and ask us to correct inaccurate or incomplete information.

We may need to verify your identity before providing access or making changes in order to avoid disclosing personal information to the wrong person.

If we cannot provide some or all requested information, we will explain the reason where required or appropriate.

12. Consent & Withdrawal of Consent

By choosing to provide information for a quote, repair, dealer application, mail-in request, or other service, you consent to the collection, use, and disclosure of information reasonably necessary for the purposes explained at the time of collection and in this Policy.

Where the information or proposed use is more sensitive or outside what a customer would reasonably expect, we may seek additional express consent.

You may withdraw consent for future use of personal information where applicable, subject to reasonable notice and any legal or contractual restrictions. Withdrawal may affect our ability to continue or complete a requested service where the information is necessary for that service.

13. Changes to This Privacy Policy

We may update this Privacy Policy when our services, technology, legal obligations, analytics tools, forms, or information-handling practices change.

The current version will be posted on this page with its latest update date. Material changes that require additional consent will be handled accordingly.
